21st Jan 2026 - Deadline for board candidate intent submission
26th March 2026 prior to commencement of Membership meeting - All Proxy and paper ballots must be received as well as online voting closing.
26th March 2026 @ 5:30pm EST - Membership meeting for board election as well as construction defect and trash litigation.
Why are the construction defect and trash lawsuits proxy votes and not straight votes ?
The associations bylaws allow mail-in ballots (not connected to a proxy) in the election of board members but not to any other vote. Therefore we are stuck with the options given to us by chapter 720, Florida statutes. Under chapter 720 there are 3 ways to vote. 1. In person at a meeting, 2. through a proxy vote where a proxyholder attends for you at the meeting, and 3. online through a system that complies with chapter 720, Florida statutes. It does not allow voting via an absentee ballot that is not assigned to a proxyholder unless permitted by the association documents (which our’s don’t).
Given we can accept votes via Simply Voting (approved system) we will include the construction defect and trash suits questions in the online ballot. anyone not registered for online voting will need to submit via proxy given above limitations in our documents
Given the resignation of the President as an officer and director of the Retreat how does this impact the proxyholder?
We will formally seat an existing board member into the officer position of President prior to the March meeting to cover this situation.
Will the board fill the open seat following the resignation by the President?
Given we are 10 weeks away from board elections the board will not fill the seat and leave that to the membership to decide on the 5 board seats which are all open in the upcoming ballot.

I have received the paper proxy ballot, can I email the completed proxy back?
Yes you can, however the signature needs to be a wet signature, scanned and emailed to manager@retreatcg.com. Electronic signatures are unfortunately not valid.
